RFID Monitoring System (Enhancement)
This document is a proposal for the enhancement of the existing RFID tracking system currently used at XXX (Client company name )This enhancement will enable the system to track the removal and return of tracked items to/from its store room.
Summary of Enhancements
The system shall be enhanced as follows:
· Username/Password Security – The system will require the user to login with username and password. And a user administration module will be added.
· Permanent Fixed RFID reader - A fixed RFID reader shall be deployed to scan all the incoming and outgoing items from the store.
· RFID system server - The system shall be installed into a server with a central database, instead of on a laptop (as it is currently).
· Camera Surveillance - A camera shall be installed to snap shot still images of item removal or return to/from the store based on the RFID scanning from the fixed RFID reader
· Check-in / Check-Out Module – The system shall allow users to check-in/check-out items to/from the store room before the item is returned/removed to/from the storage.
· Email Notification – Each item movement (as tracked by the RFID reader) shall trigger an email notification to be sent to the authorized receivers from the central server
· Web-based Remote Access Module – The system administrator can search and query the status of the items inside the database via a special module.
Username/Password Security
The current system doesn't require the user to login. The system shall be enhanced to support username/password login into the system:
· A user administration module will be added to allow the system administrator to add/edit/delete users as well as reset password
· The logged-in user will be allowed to change his/her password
· Certain sections of the system can only be accessed by authorized users based on permissions settings.
Permanent Fixed RFID Reader
This enhancement requires a permanently fixed RFID reader to be stalled at a strategic vantage point near the door to the TESLA store room:
· The reader should be connected to multiple antennas to provide adequate converge of scanning area.
· The antenna cannot accidentally scan the items inside the store room that are not removed yet.
· The RFID reader shall be able to determine the direction of travel of a tagged item (i.e whether the tagged item it moving into the store room or being brought out).
· The RFID reader must be switched on at all times and installed with permanently mounting that cannot be easily removed.
RFID System Server
The system shall be installed into a server that is placed inside the store room:
· The server must be switched on at all times (and prevented from going into sleep mode) in order to be able to communicate with the RFID reader.
· The database containing information on all items and stock take history are stored in the database to be installed into the server.
· The laptop used for the system shall only be used if connected to the database on the server, and cannot be independently used anymore.
Camera Surveillance
An IP-based camera shall be installed just outside the store room (but within the TESLA building) pointed at the store room door.
· The camera shall be connected to the server over a network (Wifi or cabled).
· The camera shall be triggered to a capture a picture upon RFID scanning of an item from the store room, whether or not the item is brought in/out to/from the store room.
· The server shall extract the image from the camera whenever required to do and use the image as an attachment for the email notifications
Check-in / Check-Out Module
Anyone who wishes to remove items from the TESLA store or return items back into the store must check-out or check-in the items at either the server or a workstation connected to the terminal to log the event into the server:
· Check-out - To bring items out from the store room, the user must register all the items using the RFID server inside the store room (with required details) Before they are brought out from the store room
· Check-in – To bring items back into the store room, the user must register all the items using a separate workstation (connect to the server) outside the store room (with require details) before they are brought back into the store room./
Email Notification
Whenever items are bring brought in or taken out from the server room (based on scanning by the RFID reader), the following happens:
· The camera shall snap a picture showing the person who bringing in/out at the items to/from the TESLA store.
· The system checks if a relevant check-in or check-out has been registered into the system or not.
· The system extras the picture from the camera
· The system generates an email based on the information above (with the image as an attachment) and sends out the email to authorized recipients.
· Telekom Malaysia must provide an email account (with SMTP server, username and password) for the purpose of sending out email notifications.
Web-based Remote Access Module
The system shall provide the ability for authorized users to access the system from outside the office as follows:
· The RFID server shall host a mobile-friendly website that requires a login into the system using an authorized username and password.
· The logged-in user shall be able to search through all the items in stock based on search criteria (e.g. tag ID, material, serial number).
· The logged-in user shall be able to view the current status of items based on details in the database.
· The remote access module can be accessed from out the office as follows:
o The office must have a permanent broadband internet connection.
o The RFID server should be configured using a static IP address
o The router shall be configured to port forward port 80 (or other suitable port) to the IP address of the RFID server.
o If the broadband connection has a fixed public IP, the user can access this module using the fixed public IP.
o If the broadband uses dynamic IP, the user has to use the dynamic public IP. The RFID server can use a utility to email the latest IP to the user each time the IP changes.
Additional Hardware & Infrastructure Requirements
The additional hardware and infrastructure required for the system is as follows:
· Broadband connection (preferably with Fixed IP)
o Must have router capable of port forwarding
· LAN with both WIFI and 4-port switch.
· Fixed RFID reader with 4 antennas
o Connected to LAN using Ethernet Cable
· IP-Camera
o Connected to LAN using WI-fi or Ethernet Cable
· RFID server:
o Windows 7 Professional and above
· Item Check-In Console:
o Connected to LAN using Cable or Wifi
o Also displays item being scanned by RFID Reader
